Founded by April Harrop nearly two years ago, Managed Medical provides comprehensive practice management services to a range of consultants in fields such as ENT, orthopaedics, sports medicine and dermatology.
By handling tasks such as patient bookings, payment processing and theatre scheduling, Managed Medical enables consultants to focus on patient care. They have been using Semble since June 2023.
The challenge: Breaking free from outdated systems and aged debt
Before transitioning to Semble, Managed Medical faced multiple operational hurdles. The previous software relied on by their main consultant was cumbersome and inefficient.
“It was archaic - everything about it was really hard work,” said April, noting that it had limited functionality for managing patient data and invoicing. Work that should have been straightforward were "just a painful task," hindering the team’s productivity and ability to deliver timely service.
Another significant issue was aged debt management. A lack of clarity in financial reporting made it difficult to track and recover outstanding balances for clients. For one client in particular, a large amount of debt had built up, and April had no way to effectively manage the situation going forward.

"There was a lot of aged debt going back a few years – about £100,000. It was a painful task on the system our consultant was using – it wasn’t easy to get reports or know what or who was outstanding. We could be booking patients in that had debt and we couldn’t tell.”
The team have also been using Carebit, whose processes they find time consuming, particularly when it comes to simple tasks, such as booking an appointment.
“Carebit’s a lot clunkier. We constantly had to click different areas and come out of the patient account to be able to look at something else. I'm quite good with computer systems because I've used a lot, but I find Carebit really hard.”

“These things just take a few seconds out of actually having to do a task, making it a lot easier when you’re dealing with a few hundred patients a day.”
Eliminating debt and streamlining invoicing
Semble’s invoicing features were pivotal in addressing their consultant’s aged debt, with April’s team managing to recover a significant portion of the £100,000 owed.
“When we took over our client’s invoicing, we had to decide which system would be able to get us up to speed, and that was Semble.
“We managed to claw back a significant amount of the debt. Because it’s easy to input fees and payments onto Semble, we were then able to put any that we wrote off onto a set date, with set comments, so we could run a report to show in his account what was paid and what was written off. It made things much easier. The consultant was really happy.”

Cutting admin time to boost the patient and staff experience
Using Semble’s features, April estimates saving five minutes per patient when handling processes like clinic letters, invoicing and booking forms. "From a patient perspective... they’ve got access to everything," she said, noting how intuitive and accessible the system is for patients as well as staff.
“The previous system used Egress to share clinic letters with patients. Egress is a nightmare at the best of times and for older patients, having to create an Egress account could be hard. To access documents with Semble, they just need to put in their date of birth.”
The time April saves extends across other key workflows as well. Compared to other systems her team are used to using, Semble’s streamlined interface makes the user experience far smoother for all.
“I’m saving more time with Semble than with Carebit. Booking a first time or follow-up appointment takes double the amount of time. Same goes for invoices – Semble takes one minute, it’s literally a few clicks, whereas it's a good three minutes on Carebit.

Scaling the business without scaling the admin
Since implementing Semble, Managed Medical has grown from managing one consultant to seven, including ENT specialists, sports medicine consultants, and dermatologists.
"We’ve grown quicker than we anticipated," April shared, adding that their original goal was four consultants by the end of year two.
“We can scale our business because we're not taking up extra hours, doing billing or uploading reports. So Semble’s made a huge difference to the business.”
